Job Description:

The Professional Arborist Association of Mississippi (PAAM / Association) is a not-for-profit

association that serves over 200 professional arborists, contractors, utilities, municipalities,

associated businesses, suppliers, and others working to foster public appreciation of urban

trees and stewardship of community forests.

PAAM is seeking an independent contractor to support the Association as a part-time

Administrative Coordinator.



MANAGEMENT STRUCTURE:

The Administrative Coordinator reports directly to the Executive Committee which consists of

four Officers and ten Board Members. The Administrative Coordinator is not a member of the

Executive Committee. All policies and procedures are established by the Executive Committee

which is elected by the Association membership.

ESSENTIAL FUNCTIONS:

1) Provides administrative support and coordinates activities assigned by the Executive

Committee;

2) Tailors approach to work tasks for accomplishing the implementation of the

Association’s Strategic Plan;

3) Assists in planning and organizes logistical details for events, particularly the

Association’s Annual Conference following the Annual Conference Operating Policy;

4) Attends Executive Committee meetings, Annual Conference, and Association functions in

person, or as required;

5) Assists Association Officers with standard office and accounting functions within

designated timeframes;

6) Distributes meeting packets, maintains a true record of all PAAM meetings, and updates

Minute Book;

7) Processes incoming / outgoing mail as necessary;

8) Maintains an up-to-date contact list of members;

9) Conducts outreach functions via social media platforms, website, email, and phone;

10) Communicates with members, volunteers, auditors, consultants, vendors, agencies, and

others as required to coordinate activities; and

11) Performs other duties and responsibilities by predetermined deadlines as requested by

the Executive Committee.

Qualifications:

MINIMUM QUALIFICATIONS:

1) Initiative to grow the Association, engage diverse groups, and reach new stakeholders;

2) Previous experience of similar work;

3) Ability to complete assigned tasks in a reliable and timely manner with minimal

supervision;

4) Access to all equipment (laptop, printer, cell phone, etc.) needed to complete duties;

5) Proficiency in Microsoft Word, PowerPoint, Excel, Publisher, and Outlook;

6) Familiarity with video conferencing via ZOOM, Teams, and other online meeting

platforms;

7) Familiarity with online payment systems via Eventbrite, PayPal, Venmo, etc.;

8) Access to reliable and insured transportation for statewide travel; (Limited overnight

travel and some day trips will require hauling small items. Authorized travel expenses

will be reimbursed.);

9) Liability insurance with certificate of insurance issued to PAAM;

10) Self-motivated individual with excellent organizational, communication, and problemsolving skills;

11) Experience in fundraising and grant administration is preferred; and

12) Successful applicant will receive a 1099 tax form at the end of year.

Salary:
$16,640 annually
