Job Description:

This diverse and stimulating position plays a critical role in the organizational strength and public face of the Appalachian Trail Conservancy throughout the Southeast. The Appalachian Trail in the Southeast is a highly diverse environment which spans 3 states across multiple ridgelines, river valleys, agricultural lands, extensive forests, and alpine summits, while traversing through settings as varied as developed communities on one end of the spectrum to remote backcountry and Wilderness Areas on the other.

 

The Office Administrator for the Southern Regional Office serves a critical role in team support to ensure that regional staff has adequate support to work productively and efficiently. This position reports to and works closely with ATC’s Southern Regional Director. As an integral member of the Southern Regional Office (SORO), the Office Administrator also provides general office and technical support to a team of 2 conservation managers in Georgia, North Carolina, and Tennessee performing the general duties necessary to operate the SORO office, including accounting, planning meetings, and drafting purchase orders. The Office Administrator facilitates communication between ATC staff, volunteers and partners. This position also works with ATC’s Director of Outreach and Education and Director of Volunteer Relations to support ongoing efforts and create new opportunities for A.T. Communities, youth engagement, general Appalachian Trail visitor outreach and education, and volunteer recruitment and registration. Furthermore, the position works closely with the Grant Compliance and Administration Manager to assist the SORO team with all levels of grant support.

Qualifications:

Bachelor’s degree or equivalent experience 1-2 years administrative/office management experience

Self-starter; comfortable working independently, taking on and managing multiple tasks while cultivating cooperation and effective communications.

Capable of working collaboratively with staff and partners in an energetic, optimistic, and team oriented working environment.

Has skills and successful experience working with people from a wide variety of ages, social and educational backgrounds.

A high level of demonstrated professionalism in verbal, written and electronic communications, including mobile devices.

Advanced proficiency in Microsoft 365 and Office Suite including PowerPoint and Excel, budgeting, finance, accounting, and purchase order systems.

Editorial and proofreading skills with proven initiative and ability to manage competing priorities and define own workload while meeting deadlines.

Ability to organize, track and follow through to successful completion and report the details of several programs at once.

Ability to inspire cooperation among individuals, private groups, local, state and federal agencies.

Essential Duties and Responsibilities

 

SORO Partnership Committees

 

Coordinates bi-annual regional A.T. management partner meetings.

Secures meeting location, accommodations and meal planning.

Manages meeting registration and participant notification.

Assists with agenda planning. Compiles and disseminates meeting information for participants.

Drafts meeting summaries and tracks action items.

Coordinates annual regional volunteer and partner recognition awards.

GA, NC and TN A.T. License Plate Programs

 

Administers NC, TN and GA tag grant programs including advertising, application reviews, award notifications, issuing payments and tracking project compliance and completion.

Coordinates with ATC Finance staff to ensure that tag revenues and expenses are accurately tracked and state audits completed on time

Identifies license plate marketing opportunities to grow program revenues.

Develops governance guidelines for the tag programs including procedures for committee membership succession and revenue allocation.

Program Support

 

Assists the Director of Education and Outreach in supporting the Appalachian Trail Communities and Community Supporters in Georgia, North Carolina and Tennessee by planning A.T. Community designation events and preparing A.T. Community Supporter packets.

Represents ATC at regional outreach events and recruits volunteers for event presence.

Seasonal Programs

 

Posts and advertises volunteer trail crew opportunities under the direction of the Regional Manager

Fields registration questions from prospective volunteers and ensures a smooth and easy registration process.

Coordinates volunteer registration’s delivery to base camp staff.

Assists the Regional Managers with planning and tracking of Trail Crew projects

Assists with advertising and posting seasonal employment opportunities

Partnership Communications

 

Updates regional volunteer, partner, and donor directories.

Assists with preparation of various mailings generated by regional staff.

Schedules meetings online and in-person including reserving facilities, catering, and online platforms.

Prepares and distributes quarterly e-news to regional mailing list.

Office Administration

 

Enters and manages office purchase orders in accordance with ATC accounting procedures; assists with annual ATC budgeting and expense tracking using system software.

Assists with project budget management, drafting contracts, and tracking deadlines for federal and non-federal funded projects.

Assists with spreadsheet data presentation by generating summaries, charts, and graphs; edits, formats, and finishes draft documents prepared by ATC staff members for distribution to trail-management partners and the public.

Answers telephone calls, responds to a high volume of e-mail inquiries, and directs calls and inquiries to appropriate staff members as necessary; returns calls in the event of a staff member’s long-term absence; serves as initial contact and communicator for incident management in Georgia, North Carolina and Tennessee.

Maintains computer and tech inventory and ensures back up of electronic data. Works with ATC IT Program Manager to troubleshoot any IT issues in the SORO region. Assists all SORO staff in applying technology that improves the efficacy of SORO operations.

Recruits and supervises office volunteers and/or interns to assist with administrative tasks.

Assists with grant writing, reporting, and seeking new grant opportunities.

Coordinates regional updates of ATC’s website.

Keeps an up-to-date calendar of regional volunteer events.

Performs other duties as assigned, including duties requested by ATC’s headquarters.

 

Salary:
Minimum of $18 per hour
